Tell buyers about holiday production delays first through your processing time, because that is what sets the delivery estimate they see before paying, and then repeat the message in your shop announcement, in one line on your busiest listings and in a direct message to anyone whose order is affected. Keep the wording short and give a real date, since buyers care far more about when the order will arrive than about why it is slower.
This guide is for print on demand sellers whose production partners and carriers get busier at the end of the year. In 2026, Thanksgiving falls on Thursday, November 26, Black Friday on November 27, Cyber Monday on November 30 and Christmas on Friday, December 25, so many of the year's gift orders arrive within a few weeks. A buyer who learns about a longer wait before ordering can plan around it. One who finds out after the expected date tends to send a message, open a case or leave a review. Some Etsy holiday delays cannot be avoided in that stretch, but a surprised buyer can.
Start with processing time, not the announcement
Etsy defines processing time as "how much time you need to get an order ready to ship." It feeds the estimated delivery date at checkout, so it is the one delay notice every buyer sees, even those who never read your shop page. Processing time starts the day after purchase, and Etsy counts it in business days, Monday to Friday, with weekend orders treated as Friday orders.
Processing times live in processing profiles, and editing a profile updates every listing linked to it. If your POD listings share one profile, a single change covers the whole shop. You can also set processing times per listing or per variation, which helps when only personalized items or one product type slow down. Our guide on what processing time to set for POD covers the normal setting you return to in January.
The honest number protects you as well as the buyer. Star Seller asks that 95% of orders ship on time with valid tracking, and Etsy Purchase Protection only covers orders shipped within the stated processing time. Our article on Star Seller requirements for POD shops explains the full criteria.
Where to tell buyers about a delay
Each place reaches a different buyer at a different moment, so use all four and keep the message consistent.
| Place | Who sees it | When to update it | What to put there |
|---|---|---|---|
| Processing profiles | Every buyer, through the delivery estimate at checkout | Before the rush, and again when it ends | The real production time for the season |
| Shop announcement | Buyers who open your shop page | As soon as your holiday schedule is set | Current production time and your last order date |
| Listing description | Buyers reading a specific listing | On best sellers and seasonal listings | One short note after the opening sentence |
| Etsy Messages | Buyers with an order already placed | As soon as you know an order will be late | The new ship date and the buyer's options |
Keep the delay note out of the first sentence of a description. Etsy's own advice is to "Clearly describe your item in the first sentence of your description", so the item comes first and the holiday note second. Remove the note in January, or it will keep warning buyers about a delay that no longer exists.
Wording you can copy and adapt
Replace the parts in parentheses with your own dates and numbers. Give one date, not a range of guesses, and never promise a delivery day that depends on a carrier you do not control.
Shop announcement: "Holiday schedule: every item is printed to order for you. Until (date), please allow (number) business days for production before your order ships. For US delivery before Christmas, we recommend ordering by (date)."
Listing note: "Holiday note: this item is made to order. Production currently takes (number) business days, and the delivery date shown at checkout already includes it."
Message to a buyer whose order is late: "Hi (name), thank you for your order. Holiday demand has slowed our production, and your order will now ship by (date) instead of (date). We will send tracking as soon as it leaves. If the new date does not work for you, reply here and we will find a solution together."
Message when a gift date is at risk: "Hi (name), we want to be upfront: with current production times, your order may not arrive before (date). Would you like us to go ahead, or would you prefer to cancel for a full refund?"
Notice what these leave out: long apologies, blame on the print partner by name, and excuses. They state the new date and offer a choice. Our message templates for replying to Etsy buyers in English cover more situations in the same tone.
When an order already placed will be late
If you already know an order will miss its ship-by date, act before the date passes. Etsy lets you edit a ship-by date once, before it passes, and extend it by up to 21 days, and it asks you to confirm with the buyer first. Items have to be marked as shipped by 11:59pm on the ship date, in your shop's time zone.
Reply to questions quickly during the rush. Star Seller asks you to reply to 95% of first messages in a thread within 24 hours, and Purchase Protection expects an answer to a buyer's Help with Order message within 48 hours. If a buyer chooses to cancel, a refund made through Shop Manager also refunds Etsy's transaction and processing fees for the refunded transaction.
Carriers and print partners publish their own holiday cut-off dates each year. Use theirs rather than guessing, and plan your "order by" date from them. Our guide to Christmas shipping cutoffs for POD orders shows how to work backwards from December 25.
How Alomations keeps you informed during the rush
You can only give buyers a real date if you know where each order stands. In Alomations, orders arrive resolved on the orders screen, with the design and variant matched and the buyer's personalization attached, and you fulfill them through production partners from the same screen, with the item cost and shipping shown separately before you pay from your balance. Each row says which print centre has the order, a partner cannot mark an order shipped without a tracking number, and tracking is posted back to Etsy where Etsy allows it. Production for US orders is in the US.
When a buyer asks where their gift is, you can answer from that row instead of guessing. You can also print and ship an order yourself from the same place, and fulfillment is open on every plan, Free included. Our tour of the orders screen shows how it works.
Frequently asked questions
Should I raise processing time for every listing?
Only for the products that actually slow down. Etsy lets you set processing times per listing or per variation, so you can lengthen personalized items while leaving simpler products as they are.
Will a longer processing time hurt my Star Seller status?
Shipping on time means shipping by the ship-by date the buyer was given. A realistic processing time set before orders arrive is what keeps that record clean, while a short one you then miss works against it.
Can I change the ship-by date of an existing order?
Yes, once, before it passes, by up to 21 days. Etsy asks you to confirm the change with the buyer first.
When should I post the holiday announcement?
As soon as your print partner's holiday schedule is known, and before Black Friday. Update it when your last order date passes, and remove it in January.
