Christmas shipping cutoffs for POD orders

Your Christmas cutoff depends on your own production and shipping times. Here is how a made-to-order shop counts back from December 25, sets a last order date per region and tells buyers in time.

Your Christmas shipping deadline on Etsy is December 25 counted backwards: subtract the transit time of the slowest shipping option you offer to a region, then your production time, then weekends and a buffer, and the day you land on is the last order date for that region. Announce it in your shop announcement, your listing descriptions and your replies to buyers well before it arrives, and raise your processing time the day it passes so checkout stops promising delivery for Christmas.

This is for print on demand sellers whose items are made after the order comes in. A shop with stock on a shelf can ship the same day, but a made-to-order shirt or mug has to be printed first, and in December your production partner and your carrier are both at their busiest. Christmas Day 2026 falls on Friday, December 25, and every date you announce is counted back from it.

Why made-to-order changes the math

Etsy defines processing time as "how much time you need to get an order ready to ship". For print on demand, that covers printing, a quality check and handing the parcel to the carrier. It starts the day after purchase, and it is counted in business days, Monday to Friday, with weekend orders counted as Friday orders. Transit time then comes on top.

That means your cutoff rests on two numbers you do not fully control: your partner's December turnaround and your carrier's holiday transit. Use the figures they publish for the season, not the ones from an ordinary month. Our guides to setting processing time for POD and how long POD orders take to reach US buyers cover the everyday version of both.

Count back from December 25

Work out one cutoff per region and per shipping option. A buyer across town and a buyer abroad will never share the same last order date, and an upgraded shipping option can carry a later date than standard shipping.

StepWhat you countWhere the number comes from
1. Target delivery dayThe last day the parcel should arrive, with room before December 25Your own choice
2. TransitBusiness days in transit for the slowest shipping option you offer to that regionYour carrier's holiday guidance
3. Weekends and closuresSaturdays, Sundays and days your carrier does not collect or deliverThe calendar and your carrier
4. ProductionBusiness days your partner needs to print and hand over in DecemberYour partner's current production time
5. BufferSpare days for a reprint, an address problem or a slow personalization replyYour own order history
6. Last order dateStep 1 counted back through steps 2 to 5The date you announce

Two Etsy details shape the count. A ship-by date that falls on a day post offices usually close moves to the next business day, and orders must be marked as shipped by 11:59pm on the ship date in your shop's time zone. The busy stretch starts earlier than December, too: Thanksgiving is Thursday, November 26, 2026, and the sale weekend after it fills production queues. Our guide to Black Friday and Cyber Monday for POD sellers covers that weekend.

If you ship to US buyers from outside the US, add more room. Etsy's June 2026 update says that starting July 9, sellers outside the US need to account for all of their costs, including duties and import fees, and orders shipped without duties prepaid no longer qualify for Etsy Purchase Protection.

Where to announce the date

Buyers decide quickly, so put the date where they already look:

  • Shop announcement. One short line with the last order date for domestic delivery and one for other regions.

  • Listing descriptions. Add the cutoff after your opening sentence, not in it. Etsy advises that a buyer should know what you are selling from the first sentence, and it recommends leaving shipping details out of listing titles.

  • Personalization instructions. Ask buyers to check spelling before ordering, because a correction message can cost a day you no longer have.

  • Messages. Answer "will it arrive by Christmas" with the date you calculated, never a guess.

  • Your own social posts. Repeat the date as it gets close.

Buyers also see an estimated delivery date at checkout, and it is built from your processing time and shipping profile. Etsy Purchase Protection covers some orders that arrive "7+ days after its estimated delivery date window provided at checkout", when the order meets Etsy's eligibility rules, which include shipping within your processing time with valid tracking. Keep those settings honest and your announcement and your checkout will say the same thing.

What to do when the cutoff passes

  • Raise your processing time so the checkout estimate moves past Christmas. Editing a processing profile updates every listing linked to it, so one change covers the whole shop.

  • Update the announcement to say new orders arrive after Christmas.

  • Keep tracking flowing. For US sellers, adding tracking is required to complete an order, and valid tracking also counts toward Star Seller and Etsy Purchase Protection.

  • Handle late orders early. You can edit a ship-by date once, before it passes, and extend it by up to 21 days. Agree the new date with the buyer first.

The last week before Christmas brings the most "where is it" messages. Our guide to replying to where is my order messages has calm wording for them.

How Alomations helps with the holiday deadline

The seller calendar in Alomations shows every Etsy shopping date of the year as a timeline, with the weeks to design, publish and sell, and it sends a notice the day each window opens, so Christmas planning starts in autumn rather than in December. Our Etsy Q4 calendar walks through the same season.

When orders come in, they arrive resolved, with the design and variant matched and any personalization text attached. You send each one to a production partner from the orders screen, with the item cost and shipping shown separately before you pay from your balance, and the row shows which print centre has the order. Production for US orders is in the US. The partner cannot mark an order shipped without a tracking number, and tracking is posted back to Etsy where Etsy allows it. You can also print and ship an order yourself, and fulfillment is open on every plan, Free included.

Frequently asked questions

Do I need a different cutoff for each shipping option?

Yes. Each shipping option has its own transit time, so a faster option to the same region can carry a later last order date. Announce the standard date first and the upgrade date next to it.

Should I set one cutoff for all buyers?

No. Set one per region. Buyers abroad need an earlier date than domestic buyers, and the gap grows if you ship internationally yourself.

Can I keep selling after the cutoff?

Yes. Raise your processing time so checkout shows a date after Christmas, and say so in your announcement. A buyer who knows the real date can still choose to order.

What if my production partner falls behind in December?

Message the buyer, agree a new date and edit the ship-by date (once, by up to 21 days, before it passes). Then move your announced cutoff earlier for the orders still to come.
