To earn Etsy's Star Seller badge, a shop has to reply to 95% of first messages in a thread within 24 hours, ship 95% of orders on time with valid tracking, keep an average review rating of 4.8 or higher, meet the case rate standard, and have at least 5 orders and $300 in sales over the past 3 months (Etsy Help). For print-on-demand shops the shipping rule is the hard one, because the tracking number comes from a production partner, and the message rule follows close behind.
This guide is for POD sellers who are close to the badge or keep losing it, and for new shops that want to set things up properly from the first order. Star Seller is reviewed every month on recent data, so it rewards steady habits far more than one good week.
The Star Seller criteria in one table
Here are Etsy's five criteria as Etsy states them, with where POD shops slip and what helps.
| Criterion | What Etsy requires | Where POD shops slip | What helps |
|---|---|---|---|
| Messages | Reply to 95% of first messages in a thread within 24 hours | Questions arrive overnight or over a weekend | Phone notifications and prepared answers |
| Shipping | 95% of orders ship on time, with valid tracking or a label bought on Etsy (when required) | A processing time shorter than the partner's real production time | A processing time with margin, tracking added before the ship-by date |
| Reviews | An average rating of 4.8 or higher | Surprises about print size, colour or fit | Honest mockups, a size chart, sample orders |
| Activity | At least 5 orders and $300 in sales over the past 3 months | Quiet months in a young or seasonal shop | Steady publishing and early seasonal planning |
| Cases | Meet the minimum case rate standard | Late or lost orders turning into cases | Answering "where is my order" before it escalates |
Two more conditions apply. Sellers become eligible 90 days after their first sale, and "Star Seller eligibility is reviewed on the 1st of every month", using the last 3 months of data (Etsy Help). A batch of late orders can therefore stay in your numbers for up to three monthly reviews.
Shipping on time: why tracking is the hard part for POD
For a shop that ships its own stock, "on time" means getting a parcel to the post office. For a POD shop it means the partner has printed the item, packed it and bought a label, and the tracking number has reached your Etsy order, all before the ship-by date. Etsy defines that date as "the date that you commit to ship an order to the buyer", and items must be marked as shipped by 11:59pm on it, in your shop's time zone (processing times).
Tracking is not optional for this badge: "Orders for physical items must have a valid tracking number in order for them to qualify towards Star Seller" (tracking on Etsy). For US sellers, adding tracking is also required to complete an order.
What to do:
Set the processing time from your partner's real production time, with room for busy weeks. Processing time starts the day after purchase (processing times) and is counted in business days, Monday to Friday (shipping profiles).
Check open orders every working day, so a stuck order is spotted well before its ship-by date.
If an order is going to be late, you can edit its ship-by date once, before it passes, and extend it by up to 21 days. Etsy asks you to confirm with the buyer first (processing times).
Watch the tracking number itself. You have "3 days to make changes to the tracking number or shipping carrier" (tracking on Etsy), so a typo can be fixed if you catch it quickly.
We go deeper in what processing time to set for POD and tracking numbers on Etsy.
Replying within 24 hours without living in your inbox
Only first messages in a thread count, so the job is to answer every new conversation within 24 hours. A short, genuine reply ("Thanks, I have checked your order, it is in production and I will send tracking as soon as it ships") answers that first message, and details can follow.
POD shops hear the same questions again and again: delivery time, sizing, colour, a change to the personalization. Keep a prepared answer for each, so replying takes a minute. Turn on message notifications in the Etsy Seller app on your phone. If you live in a different time zone from most of your buyers, their messages often land while you sleep, so plan a short message check at the start and the end of your day. For delivery questions, our replies to "where is my order" messages give you wording to start from.
Reviews and cases: the slower criteria
A 4.8 average leaves little room for mistakes. Etsy's score is "a recency-weighted average of all the star ratings you've received", with reviews from the past 12 months weighing most (reviews). In POD, low ratings often trace back to something the buyer did not expect: a colour that looked different on screen, a fit that ran small, a print smaller than the mockup suggested. Honest mockups, a clear size chart and sample orders of your own products prevent many of them.
Cases follow late and lost orders. Keeping buyers informed, and solving a problem in Messages before the buyer opens a case, protects this criterion and the general customer service standards every shop has to meet. Our guide to how Etsy cases work walks through the process.
Minimum activity: 5 orders and $300 in 3 months
The activity threshold is simple, but it means a new or seasonal shop can meet every quality criterion and still miss the badge in a quiet quarter. That is normal. Keep publishing steadily, plan seasonal listings early, and treat the badge as the result of good service rather than a target you can force.
How Alomations helps with on-time shipping
For a POD shop, a lot of the Star Seller risk sits between the Etsy order and the tracking number, and that is the stretch Alomations handles. Orders arrive resolved: the Etsy order pulls in with the design and variant matched and the buyer's personalization text and photos attached. From the orders screen you send the order to a production partner, see item cost and shipping separately before you pay from your balance, and the order row tells you which print centre has it.
The partner cannot mark an order shipped without a tracking number, and tracking is posted back to Etsy where Etsy allows it. Production for US orders is in the US, and you can still print and ship an order yourself from the same screen. All of this is open on every plan, Free included. See how it works, or our explainer on print on demand fulfillment if the partner model is new to you. The badge still depends on your replies, reviews and processing time, but the hand-off between order and tracking is off your list.
Frequently asked questions
Do the Star Seller habits matter for search too?
In part, yes. Etsy's Search Visibility page lists customer service checks, including timely replies to buyer messages and shipping on time with tracking (Etsy Help), so the same habits count in both places.
What happens if I lose Star Seller?
Eligibility is reviewed on the 1st of every month from the last 3 months of data, so the badge can come back once your numbers recover. Separately, every shop must meet Etsy's customer service standards, which include replying to 80% of first messages within 24 to 48 hours and shipping at least 80% of orders on time (customer service standards).
Do POD orders need tracking to count?
Yes. Orders for physical items need a valid tracking number to count toward Star Seller, and valid tracking is also required for Etsy Purchase Protection (Etsy Help).
Can a new shop become a Star Seller?
Sellers become eligible 90 days after their first sale, and they also need at least 5 orders and $300 in sales over the past 3 months (Etsy Help).
