On Etsy, an order's tracking number is added at the moment it is marked as shipped: you buy a shipping label on Etsy, you enter the carrier and tracking number yourself, or a connected production partner sends it for you. It matters because US sellers need tracking information to complete an order, and valid tracking also counts toward Star Seller and Purchase Protection, and helps Etsy confirm shipping so reserved funds can be released.
This guide is for print-on-demand sellers whose orders leave a print centre rather than their own desk. When someone else ships, there is a gap between the parcel moving and Etsy knowing about it, and most tracking problems (late marks, missing numbers, a worried buyer) live in that gap.
What a tracking number affects on Etsy
Tracking is more than a courtesy link for the buyer. Here is what Etsy ties to it.

When tracking has to be added
Every order has a ship-by date, which Etsy defines as the date that you commit to ship an order to the buyer. Processing time starts the day after purchase, and items must be marked as shipped by 11:59pm on the ship date, in your shop's time zone. Marking an order as shipped is where tracking normally goes in.
Two time limits are worth knowing. After you add tracking, you have 3 days to make changes to the tracking number or shipping carrier. And after sending a shipping notification, you can't change the order's completion status, so never mark an order shipped before a label exists just to beat the deadline.
Not every order needs tracking. Etsy lists digital downloads, customized order additions, local pickup and oversized or heavy items as exceptions. If you already know your partner will be late, you can edit a ship-by date once, before it passes, and extend it by up to 21 days, after confirming with the buyer. How tracking gets onto an order
A label bought on Etsy
If you ship yourself and buy postage through Etsy, the label carries its own tracking, and Etsy's Star Seller rules accept a label purchased on Etsy in place of separately entered tracking. For sellers who print and pack at home, this is the route with the fewest chances to make a mistake.
Entering it by hand
If you buy postage elsewhere, you mark the order as shipped and type in the carrier and the tracking number. The usual slips are a wrong carrier, a missing digit and a number pasted into the wrong order, which is exactly what the 3-day correction window is for.
When a production partner ships
In print on demand, the partner prints the item, buys the label and receives a tracking number from the carrier. A connected app then posts that number to the Etsy order through the Etsy API, and Etsy sends the buyer a shipping notification. The weak points are a partner that marks orders late, a label created but not yet handed to the carrier, and an app that cannot post tracking for a particular carrier. Tracking, payouts and Star Seller
New sellers may see part of their funds held in a payment reserve. Etsy says reserved funds are released immediately when it can confirm the order has shipped, and that for most sellers, the reserve will be removed within 90 days. Tracking is how Etsy confirms shipping, so fast, valid tracking is also how you reach your money sooner.
For Star Seller, orders for physical items must have a valid tracking number in order to qualify. The badge also asks you to reply to 95% of first messages within 24 hours, keep an average review rating of 4.8 or higher, and reach at least 5 orders and $300 in sales over the past 3 months. Purchase Protection, which covers up to $250 of a refund on approved cases, needs the order shipped within your processing time with valid tracking or an Etsy label. Sellers outside the US who ship to US buyers should also know that orders shipped without duties prepaid no longer qualify for Etsy Purchase Protection. When tracking is missing or wrong
Check the partner's order record first: see whether a label exists and whether the carrier has scanned it.
If the number on Etsy is wrong and you are inside the 3-day window, correct it.
Message the buyer before they message you, with the corrected link and an honest estimate.
If the parcel is stuck, contact the partner and keep the buyer updated in the same thread.
