Fulfillment is the part of a print-on-demand sale that starts when the buyer pays on Etsy and ends when the parcel reaches their door: the order goes to a production partner with the right file and variant, the partner prints, packs and ships it, and a tracking number comes back to Etsy. You own the listing and the buyer relationship, the partner owns production, and most delays happen at the handovers between the two.
Knowing the chain matters because Etsy measures the seller, not the printer. Ship-by dates, tracking and message replies count toward your shop's standing no matter who pressed the shirt, so when an order runs late you need to know which link to check.
Who does what in a POD order
Four parties touch every order:
Etsy takes the payment, records the order with its variation and personalization, sets the ship-by date and handles cases and Purchase Protection.
You, the seller, own the accuracy of the listing, get the order to the partner, pay for production, answer the buyer and keep the Etsy order up to date.
The production partner prints, checks, packs and hands the parcel to a carrier. Etsy describes print-on-demand services as "Companies that print and ship individual items only when ordered" in its production partner guide.
The carrier moves the parcel and provides the tracking events the buyer watches.
An order from checkout to doorstep
1. Checkout and the ship-by date
The buyer pays and Etsy creates the order. Processing time starts the day after purchase, and the ship-by date is, in Etsy's words, "the date that you commit to ship an order to the buyer" (Etsy's processing time guide). Processing times count business days, Monday to Friday, and a weekend order counts as a Friday order (Etsy's shipping profiles guide).
2. The order reaches the print centre
This is the first handover and the one that fails most quietly. The partner needs the print file, the placement, the exact blank, size and colour, any personalization text or photo, and the shipping address. If someone copies these by hand, a typo or a mismatched colour name goes straight into production.
3. Production and quality check
The partner pulls the blank, prints it (DTF, DTG or sublimation, depending on the product), finishes it and checks it. Busy seasons lengthen print queues, and a blank that runs out in one size or colour holds the order until it is restocked or replaced.
4. Packing, label and tracking
The parcel is packed, labelled and handed to a carrier, which creates the tracking number. For US sellers, "Adding tracking information is required to complete an order" (Etsy's tracking guide), and you have 3 days to correct a tracking number or carrier after adding it.
5. Delivery and after
The buyer follows the tracking, receives the parcel and can leave a review. Etsy gives buyers 100 days to review an order, counted from the delivery date or estimated delivery date (Etsy's reviews guide). If something is wrong, the buyer messages you, not the printer.
Where the delays come from
| Stage | Who handles it | What usually slows it | What you can do |
|---|---|---|---|
| Order handover | You or your integration | Orders sent late, weekends, manual copying | Send orders automatically or on a fixed daily routine |
| File and variant | You | Missing file, wrong colour or size match, typo in buyer text | Match every variation to a product before you list |
| Blank stock | Production partner | A size or colour out of stock | Offer colours your partner stocks reliably |
| Printing | Production partner | Peak-season queues, reprints after a failed check | Set a realistic processing time and list seasonal items early |
| Shipping | Carrier | Holiday volume, cross-border transit, bad addresses | Use tracked services and confirm odd addresses with the buyer |
Two Etsy rules make realistic timing worth the effort. Etsy can show buyers your actual processing time, based on the last 120 days of shipped orders once at least 5 have shipped (Etsy's processing time guide), so an optimistic setting does not stay hidden for long. And you can edit a ship-by date only once, extending it by up to 21 days, after confirming with the buyer. Our guide on what processing time to set for POD helps you pick the number.
The Etsy rules that apply to POD fulfillment
Disclose the partner. "If you work with a production partner, you must disclose that production partner in your relevant listings" (Etsy's listing guide). You add it under Shop Manager > Settings > Partners you work with, and you can show a descriptive title such as "Apparel printer" instead of the partner's name.
Ship on time with tracking. Etsy's customer service standards expect "At least 80% of orders ship on time", and Star Seller asks for 95% shipped on time with valid tracking or an Etsy label where required.
Keep Purchase Protection eligibility. Etsy covers up to $250 of a refund on eligible cases, and the conditions include shipping within the stated processing time with valid tracking (Etsy Purchase Protection). Etsy's June 2026 update adds that orders shipped to the US by sellers outside the US no longer qualify without duties prepaid.
Mark it shipped in time. Items must be marked as shipped by 11:59pm on the ship date, in your shop's time zone (Etsy's processing time guide).
How Alomations handles fulfillment
In Alomations, the first handover is done for you: orders arrive resolved. The Etsy order pulls in with the design and variant already matched and the buyer's personalization text and photos attached, so nobody retypes a name or guesses a colour.
From the orders screen you send the order to a production partner, with the item cost and shipping shown separately before you pay from your balance. Each row says which print centre has the order, the partner cannot mark it shipped without a tracking number, and the tracking is posted back to Etsy where Etsy allows it.
You can also print and ship an order yourself, and custom orders have their own screen. All of this is open on every plan, Free included.
The catalog covers Gildan, Bella+Canvas and Comfort Colors apparel, mugs, tumblers, ornaments, totes, canvas prints and more. Apparel is printed with DTF, sublimation is used for products that need it, and production for US orders is in the US, so a US buyer's parcel starts its trip inside the US even when your shop is based elsewhere.
Frequently asked questions
Who is responsible when a POD order arrives late?
Toward the buyer and Etsy, you are. The partner's delays still count against your ship-by date, so choose a processing time that covers production as well as shipping.
Do I have to tell buyers I use a print partner?
Yes. Etsy requires you to disclose production partners on the relevant listings, and buyers can see that information in your shop's About section. Our article on production partners on Etsy walks through the setup.
When does the buyer get a tracking number?
When the partner hands the parcel to a carrier and the tracking is added to the Etsy order. Our guide to tracking numbers on Etsy explains the timing, and how long POD orders take to reach US buyers covers the transit part.
What should I reply when a buyer asks where their order is?
Check the stage first (in production, shipped or in transit), then answer with that stage and the tracking link. Our examples for replying to where is my order messages make it quicker.
Fulfillment is included on the free plan too, so create a free account and send your next Etsy order to production with the design and variant already matched.
