The fastest way to answer Etsy buyers in English is to keep a short, friendly template for each message you get often, then change only the details before you send. Below are ready replies for the messages new sellers receive most, with notes on tone so your English sounds warm and clear even when it is not your first language.

This guide is for sellers who run their shop in a second language, including the many sellers in Türkiye. Turkish is not one of Etsy's site languages (Etsy Help Center), so most of your buyers will likely write to you in English. A good reply does not need perfect grammar. It needs to be quick, polite and specific.

Why speed and tone matter

Etsy measures how fast you answer. Its customer service standards for all sellers ask you to reply to 80% of first messages in a thread within 24 to 48 hours (Etsy Help Center). Star Seller sets the bar higher: a reply to 95% of first messages within 24 hours (Etsy Help Center). The other criteria are in Etsy Star Seller requirements for POD shops. If a buyer opens a Help with Order request, you need to answer it within 48 hours for the order to qualify for Etsy Purchase Protection (Etsy Help Center).

Tone matters because your messages are part of the product. Etsy also scans messages and may review them, for reasons that include harassment, review manipulation and attempts to move buyers off Etsy to finish a transaction (Etsy Help Center). Keep every conversation, and every payment, on Etsy.

Tone rules for second-language writers

A few habits make a reply read naturally:

  • Start with "Hi" and the buyer's first name. "Dear Sir or Madam" reads like a letter from a bank.

  • Answer the question in the first sentence, then add detail.

  • Keep sentences short. One idea per sentence is easier to read and harder to get wrong.

  • Apologize once, clearly. A string of apologies sounds less confident, not more polite.

  • Give dates, not promises. "It ships by Friday" is clearer than "I will do my best".

  • Sign off with your first name. It reminds the buyer that a real person is answering.

The table below shows phrases second-language writers often use and what to write instead.

Before the sale: size, timing and custom requests

Fill in the parts in brackets with your own details.

Size or fit question. Hi (name), thanks for your message. This shirt has a (classic / relaxed) unisex fit. If you are between two sizes, I would go with the larger one for a looser fit. The size chart is in the listing photos. Best, (your name)

Will it arrive in time? Hi (name), thank you for asking. Each order is printed after purchase, which takes (number) business days, and shipping to (country) usually takes (number) more. If you order by (date), it should arrive around (date). Delivery depends on the carrier, so I can't promise an exact day, but I'll send tracking as soon as it ships.

A custom request you can make. Hi (name), yes, I can make this for you. It would be (price) and ship within (number) business days. If that works for you, I'll set it up in my shop and send you the link here.

A logo or character you don't own. Hi (name), thank you for thinking of my shop. I only sell my own original designs, so I can't print that logo. I'd be happy to make something in a similar mood with your own words or idea.

For the full process, see handling custom order requests on Etsy.

After the order: confirming details and tracking

Personalization check. Hi (name), thank you for your order. Before it goes to print, could you confirm the text exactly as you want it? I have: (text). Reply "yes" if it's correct, or send the corrected spelling.

Where is my order? Hi (name), thanks for checking in. Your order shipped on (date), and the tracking number is (number). The latest update shows (status). Parcels sometimes pause between scans, so if there is no new update by (date), message me and I'll look into it with the carrier.

There is a longer version in replying to 'where is my order' messages.

Delay before shipping. Hi (name), I wanted to let you know that your order needs a little more time, because (short reason). It will now ship by (new date). I'm sorry for the wait. If this date doesn't work for you, tell me and we'll find a solution.

Etsy lets you edit a ship-by date once, before it passes, and extend it by up to 21 days, after confirming with the buyer (Etsy Help Center).

When something goes wrong

Damaged or misprinted item. Hi (name), I'm really sorry your (item) arrived like this. Could you send me a photo of the problem? Once I see it, I'll send a replacement or a refund, whichever you prefer.

Only offer what you will actually do. If you agree to a return in Messages, Etsy requires you to fulfill that agreement (Etsy Help Center).

Return or exchange request. Hi (name), thanks for letting me know. Each item is printed to order, so (your return policy in one sentence). Here is what I can do: (option).

After delivery. Hi (name), I hope your (item) arrived safely and that you like it. If anything isn't right, please message me first and I'll do my best to fix it. Thank you for supporting my small shop.

Never tie a discount or a gift to a review: Etsy scans messages for review manipulation. If a review does go badly, read how to respond to a negative Etsy review.

How Alomations helps with these messages

In Alomations, an Etsy order arrives on the orders screen already resolved: the design and variant are matched, and the buyer's personalization text and photos are attached. That makes the personalization check above quick: you copy the buyer's exact text straight from the order. When a production partner prints the order, the row says which print centre has it, the partner cannot mark it shipped without a tracking number, and tracking is posted back to Etsy where Etsy allows it. So when a "where is my order" message comes in, the number you need is already there.

Alomations offers support in English and Turkish, and the Classroom has free video tutorials in both languages, open on every plan.

Frequently asked questions

Can I reply to buyers in Turkish?

Reply in the language the buyer wrote in. Turkish is not one of Etsy's site languages, so most buyers will likely write in English, and a short, simple English reply beats a long one.

How quickly do I need to answer?

Etsy's standard for all sellers is a reply to 80% of first messages within 24 to 48 hours. For Star Seller, it is 95% within 24 hours.

Can I ask a buyer to pay or finish the order outside Etsy?

No. Etsy scans messages for attempts to move buyers off Etsy to finish a transaction, and in some cases it blocks messages.

Can a translation tool write my replies?

It can help with a first draft. Shorten your sentences before you translate, then check the English against the table above. Our guide on writing Etsy listings when English is not your first language has more tips.
