Handling custom order requests on Etsy

A practical routine for Etsy custom order requests: the questions to ask, how to quote, what to confirm in writing and how to deliver on the promised date.

Handle an Etsy custom order request in three steps: ask enough questions to describe the finished item exactly, send one quote with the price, the proof process and the timing, then create a listing for that buyer that repeats every agreed detail. When the buyer pays for a listing that already states what they are getting, there is very little left to argue about later.

Custom requests come from buyers who already like your work and want it adjusted. They are also where misunderstandings tend to start, because the details live in a chat thread instead of a listing. This guide gives print-on-demand sellers a repeatable routine, so a request for a new colour, a name or a new design ends with a happy buyer, not a refund.

Decide which requests you take

Before replying, decide whether you can make the item. A print-on-demand shop is limited by what its production partner offers, so a garment or finish you cannot source deserves a polite no, not a hopeful promise.

Some requests are a no for a different reason. Buyers sometimes ask for a team logo, a cartoon character, a celebrity's face or a brand name. Etsy allows production partners to make items "as long as the items being sold are the seller's original design (or the buyer's customization)" (Etsy Help), and someone else's logo or character is neither. Offer an original design in the same spirit instead. Trademark basics for print on demand sellers explains why, and anything you are unsure about belongs with Etsy's help pages or a qualified professional.

A quick filter for every incoming request:

  • Can my production partner print this product, size and colour?

  • Is the design original, or built from the buyer's own text or photo?

  • Can I deliver it on time?

  • Is the work worth what the buyer will pay?

Ask the questions that define the item

Custom order disputes usually start with a detail nobody asked about. Your first reply should collect everything needed to describe the finished item, without burying the buyer in questions.

For a printed shirt, mug or tote, that usually means:

  • The product, size, colour and quantity.

  • The exact text, typed out by the buyer, including capital letters, dates and symbols.

  • Any photo or artwork, as the original file.

  • Where the design goes (front, back, sleeve) and roughly how large.

  • The date the buyer needs it by and the country it ships to.

Get the wording as typed text, never pieced together from several messages, and keep a copy in your notes. Avoiding mistakes in buyer text goes further on spelling, capitalisation and long names.

Quote the price, the proof and the timing in one message

Send one quote the buyer can say yes to. It should state:

  1. The price of the item and the shipping cost, listed separately.

  2. What the proof is (a mockup of the design on the product) and how many change rounds are included.

  3. The processing time, counted from proof approval rather than from the first message.

  4. The return policy for this item.

Price the custom work, not only the blank: a new design or several proofs take time a standard listing does not. Start from your real costs: Etsy charges $0.20 for a private listing and a 6.5% transaction fee on the order total, shipping included (Etsy fees), plus payment processing, which depends on the country of your bank account. The margin math for print on demand pricing walks through the full calculation.

Keep the whole conversation on Etsy. Etsy scans messages and may review them, and attempts to move a buyer off Etsy to finish a transaction are one of the reasons it names (Etsy Help).

Confirm in writing, then create the listing

Once the buyer approves the proof, send a confirmation that restates every detail: product, size, colour, exact text, placement, price and ship date. Ask the buyer to reply with a clear yes. It feels formal, but it settles most questions before anyone asks them.

Then create a private listing for that buyer with the same details. Use the approved proof as the first photo and write the agreed text in the description exactly as confirmed. Etsy Purchase Protection covers a seller when an item "matches the listing description and photos, but a buyer claims it does not", and it does not cover a case where "the item doesn't match the listing description" (Etsy Purchase Protection). The listing is the record that you, the buyer and Etsy all go back to.

Set the return policy on purpose. Etsy requires a return policy on physical listings and lets you set a different one for each listing (Etsy Help). If you agree to a return in Messages, Etsy requires you to fulfill that agreement (Etsy Help), so make promises in chat with care. Rules differ for buyers in some regions, so check Etsy's help pages for the countries you ship to.

Deliver on the date you promised

From payment on, a custom order is an ordinary order with less room for error. Check the print file against the confirmed text one last time before it goes to production, character by character.

The ship-by date is "the date that you commit to ship an order to the buyer" (Etsy Help). If something slips, Etsy lets you edit a ship-by date once, before it passes, and extend it by up to 21 days, after confirming with the buyer. Treat that as a safety net, not a plan, and set a processing time that already includes proof rounds. What processing time to set for POD on Etsy explains how to size it.

Keep replies quick while the order is open. Etsy's customer service standards ask every seller to reply to 80% of first messages in a thread within 24 to 48 hours (Etsy Help). Add tracking when the order ships: for US sellers, tracking is required to complete an order (Etsy Help).

How Alomations handles custom orders

In Alomations, custom orders have their own screen, so a one-off job does not get lost among routine sales. When an Etsy order comes in, it arrives resolved: the design and variant are matched, and the buyer's personalization text and photos are attached to the order. You work from what the buyer actually sent rather than retyping it.

From the orders screen you can send the job to a production partner. The item cost and the shipping are shown separately before you pay from your balance, the row shows which print centre has the order, the partner cannot mark it shipped without a tracking number, and tracking is posted back to Etsy where Etsy allows it. If you would rather print and ship a custom piece yourself, you can do that too. Orders and fulfillment are open on every plan, Free included, and how it works shows the full flow.

Frequently asked questions

Should the buyer pay before or after the proof?

A common routine is to share the proof first and create the private listing after approval, so the buyer pays for a finished, agreed design. If a design takes real work, you can charge for the design up front instead. Either way, state the rule in your quote.

What if the buyer wants a change after paying?

Go back to the confirmation and the listing. Small changes before production are usually easy to accept. A change after the item is printed is a new order, and the return policy on that listing decides what happens next.

Can I use a production partner for a custom order?

Yes. Etsy allows production partners, including print-on-demand services, when the item is your original design or the buyer's customization, and it requires you to disclose the partner on the relevant listings (Etsy Help).

You can run this routine with orders and fulfillment included on the Alomations free plan.
