Mistakes in Etsy personalization orders usually start in one of three places: a typo in what the buyer typed, an instruction the buyer read differently from how you meant it, or text retyped by hand somewhere between the order and the print file. You prevent them by asking for the text precisely on the listing and by checking every order against a short list before production, with a confirmation message whenever something looks unusual.
A misprinted name is expensive in print on demand. The item is made to order, so you cannot resell it, you pay for the blank, the print and the shipping again, and the buyer's gift may now arrive late. This guide is for sellers of name shirts, family sets, wedding gifts and anything else where the buyer's words go on the product.
Where personalization mistakes come from
Errors tend to fall into a handful of patterns, and each one has a simple fix.
| Mistake | Where it usually starts | How to prevent it |
|---|---|---|
| Misspelled name | Buyer typo or phone autocorrect | Ask buyers to check spelling, and repeat unusual names back before printing |
| Wrong capital letters | Text typed all in lowercase or all in capitals | Say in the instructions that you print exactly as typed |
| Date in the wrong order | US and European date formats differ | Ask for the month as a word, or show the format you want |
| Text too long for the design | No character limit on the field | Set a limit that matches the space in the design |
| Missing or wrong letter | The font lacks an accented letter such as é, ñ or ş | Test names with accents in your font before listing |
| Text in the wrong place | Details sent in a message, or two names swapped | Use separate, clearly labelled fields |
| Retyping error | The seller copies the text by hand | Copy and paste, never retype |
The last row is the one sellers control completely. Every time text is retyped, from the order page into a design file or from one screen into another, there is a new chance for a typo that nobody asked for.
Set up the listing so the text arrives clean
Most of the work happens before the order. Etsy lets you add up to 5 personalization fields per listing, choosing between a text box, a list of options and a file upload, and each field can be required or optional. Use that structure instead of one big box.
One field per piece of text. "Name on front" and "Date on back" as two fields beats one box that says "name and date".
A list of options for fixed choices. Font, lettering colour or a choice of phrases can be a list of up to 30 options, so nothing needs typing.
A character limit that fits the design. Etsy lets you set a text box limit between 1 and 1,024 characters, based on your design. Count what fits at a readable size and set that number.
An example in the instructions. Show exactly what a good answer looks like, capitals included.

Confirm the details before production
Read the personalization on every order before it goes to print, and stop on anything unusual: an odd spelling, text all in capitals or all in lowercase, a missing date, a note in the message thread, or an order with several personalized items.
When something needs checking, message the buyer through Etsy Messages and repeat the exact text back. A short message works best:
"Hi Sarah, thank you for your order. Before we print, please confirm the text exactly as it should appear: Amelia Rose, with a capital A and R, and the date June 14, 2026. Reply with confirmed, or send the correction."
Keep the conversation on Etsy. Etsy scans messages and lists attempts to move buyers off Etsy among the reasons it may review them, and the thread is also your record of what the buyer approved.
Timing the confirmation
Ask quickly and answer quickly. Etsy's customer service standards ask sellers to reply to 80% of first messages in a thread within 24 to 48 hours, and Star Seller asks for 95% within 24 hours. Build a little room for confirmation into your processing time. Our article on what processing time to set for POD explains how.
If the buyer does not answer, follow what your listing says, and say in the instructions how long you wait before printing exactly as typed. If you need more time and the buyer agrees, Etsy lets you edit a ship-by date once and extend it by up to 21 days.
When a mistake gets through anyway
First work out where it happened. If you printed exactly what the buyer typed and confirmed, the answer comes from your shop policy, and Etsy says "Each Etsy seller is responsible for their own policies regarding refunds, exchanges, and returns." If the error was yours, apologise, reprint quickly and tell the buyer when the replacement will ship.
If a refund is the answer, issue it through Shop Manager. Etsy then automatically refunds your transaction and processing fees for the refunded transactions, and refunds through Etsy Payments are possible only within 180 days. Do not count on Etsy Purchase Protection for your own misprint: the cases it does not cover include "The item doesn't match the listing description." Our guide to how Etsy cases work and how to avoid them covers what happens if a buyer opens one.
How Alomations handles personalized orders
Personalizable designs in Alomations carry an editable field, such as a name or a date, so the listing reaches Etsy with personalization switched on, and the buyer's text is placed into the design when the order arrives. Personalized designs are detected so sample names stay out of the title and description, and titles say Custom or Personalized where they should. Our article on personalizable designs shows the setup.
Orders then arrive resolved: the Etsy order pulls in with the design and variant matched and the buyer's personalization text and photos attached, so you read the text in one place instead of copying it between screens. You fulfill through a production partner from the orders screen, with item cost and shipping shown separately before you pay, or print and ship the order yourself, on every plan, Free included. Because the buyer's text goes into the design automatically, the habit in this article still matters: read it, and confirm anything unusual, before you pay for production.
Frequently asked questions
Should I fix an obvious typo in a buyer's text?
Ask first. What looks like a typo can be an unusual spelling of a name, so repeat the text back and let the buyer confirm or correct it.
What if the buyer never replies to my confirmation message?
Follow the rule in your listing instructions, for example printing exactly as typed after the waiting time you state there. Keep an eye on the ship-by date while you wait.
How many personalization fields can an Etsy listing have?
Up to 5, each a text box, a list of options or a file upload, and only one of them can be an upload field, according to Etsy's personalization guide.
Who pays for a reprint when the buyer made the typo?
That depends on your shop policy, which you set. Stating in the listing that you print exactly as typed makes the answer clear before the order is placed.
You can start on the Alomations free plan, where real orders arrive with the buyer's personalization text already attached.
