How to respond to a negative Etsy review

Once you reply to an Etsy review, the buyer can no longer edit it. A calm order of steps: fix the problem privately, reply once in public, then learn from the review.

Handle a negative Etsy review in two steps: first message the buyer privately and fix the problem, then post one short, calm public reply. The order matters, because Etsy says that once you respond to a review, the buyer will no longer be able to edit their original review or rating.

This is for sellers looking at their first one- or two-star review. In print on demand, a bad review can come from things you never touched, such as a late carrier or a print centre's mistake, but the buyer reviewed your shop. Future shoppers read your reply as a preview of how you will treat them, so the goal is not to win the argument but to fix the order and look like a shop people can trust.

Why the order of your steps matters

Three rules from Etsy's help pages shape the whole plan. Buyers have 100 days to review an order, counted from the delivery date or the estimated delivery date. On Etsy's page about responding to reviews, the buyer can edit their review within 100 days of the estimated delivery date, you can only respond to each review once, and your response ends the buyer's ability to edit.

Put together, a same-day public reply locks the rating in place, even if you solve the problem the next morning. Fixing first and replying last keeps the door open.

There is no shortcut through support either: Etsy Support cannot remove a review at a seller's request, and Etsy removes a review only when it breaks Etsy's policies. Your tools are the fix and the reply.

Step 1: Pause and read it like a support ticket

Give yourself a few hours before you write anything. Then open the order and gather the facts: size and colour, the personalization text the buyer entered, the ship date and the tracking history. Sort the complaint into one of four kinds, because each has a different fix:

  • Product: a print, size or colour problem.

  • Delivery: a late or lost parcel.

  • Personalization: a wrong name or date.

  • Expectation: the item is as described, but not what the buyer pictured.

Be honest about your own part. A missing size chart or a mockup brighter than the real blank is a listing problem you can fix for every future buyer.

Step 2: Fix the problem privately

Message the buyer through Etsy Messages before you touch the public reply. Keep it short: apologise for the experience, name the specific problem, offer a concrete fix and let them choose. For example: "Hi [name], I'm sorry the print on your shirt arrived peeling at the edge. That should not happen. I can send a replacement at no cost or refund the order in full, whichever you prefer."

If you refund, do it through Shop Manager. Etsy says that on a refund made there, your Etsy transaction and processing fees for the refunded transactions are automatically refunded, and that after 180 days you can no longer refund an order through Etsy Payments. For a misprint or damage, our guide on what to do when a POD order arrives damaged or misprinted covers replacements with a production partner.

Never make the fix conditional on a changed review. Etsy scans messages and lists review manipulation among the reasons it may review them. Offer the fix because it is right, then leave the review to the buyer. Some buyers update it on their own once the problem is solved, which is why you have not replied yet.

Step 3: Write one calm public reply

When the private conversation is settled, or the buyer has stopped answering, write the public reply for every shopper who will read your reviews later.

A reply that works has four parts: thanks for the feedback, a plain acknowledgement of the specific issue, what you did or offered (without private details), and what you changed, if anything. For example: "Thank you for telling us about the print. We're sorry it arrived this way, and we've reached out to send a replacement. We've also added wash-care instructions to every order." Only write the last sentence if it is true.

Avoid what makes readers side with the buyer: arguing line by line, quoting private messages, sharing order details, blaming your carrier or print partner by name, and sarcasm. You get one reply, so draft it and reread it an hour later before posting.

Step 4: Learn from the review

One review is a story; three reviews about the same thing are a pattern. Keep a simple log with the date, the product, the cause and your fix, and look at it every month. A pattern usually points to a listing change: a clearer size chart, a note about colour variation, a longer processing time or better personalization instructions.

Etsy's review score is a recency-weighted average, where reviews from the past 12 months weigh most and each rating's weight halves every year. Etsy's customer service standards allow, for shops with fewer than 40 reviews, no more than 4 reviews rated 3 stars or lower, and under 10% for shops with 40 or more. Star Seller needs an average rating of 4.8 or higher, as our guide to Star Seller requirements for POD shops explains.

If a review breaks Etsy's policies, you can report it up to 100 days after the item's estimated delivery date. An unfair review is not necessarily one that breaks the rules, so check Etsy's help pages first.

Seeing what happened to the order in Alomations

Step 1 is mostly finding out what actually happened, and that is where Alomations helps. Orders arrive resolved: the Etsy order comes in with the design and variant matched and the buyer's personalization text and photos attached, so you can compare what the buyer typed with what went to print.

When you fulfill through a production partner from the orders screen, the order row says which print centre has the order, the partner cannot mark it shipped without a tracking number, and tracking is posted back to Etsy where Etsy allows it. You can also print and ship an order yourself, and fulfillment is open on every plan, Free included. The how it works page shows the full flow.

Frequently asked questions

Can I get a negative review removed from Etsy?

Only if it breaks Etsy's policies. Etsy Support cannot remove a review at a seller's request.

Should I reply to every negative review?

A short, calm reply is usually worth posting, because future shoppers read it. Wait until the private conversation is settled, since your one reply ends the buyer's ability to edit.

Can I ask the buyer to change their review?

Do not tie a refund or replacement to it, because Etsy scans messages for review manipulation. Fix the problem and leave the review to the buyer, who can edit it within 100 days of the estimated delivery date while you have not replied.

How much does one bad review hurt my shop?

Less over time. The score is recency-weighted, so a single review counts for less each year.
