Etsy does not rank a listing on its title and photos alone: its help pages name customer service next to tags, titles, attributes and listing quality, and the Search Visibility page checks shop-wide things like your review score, message replies, on-time shipping, cases and whether you have a return policy. A weak record in those areas can hold back every listing in the shop at once, while a clean one lets your best listings compete on their own merits.
This matters most in print on demand, where delivery dates and print quality depend partly on a production partner you never see. If your titles and tags are in good shape and listings still sit low, look at the shop record next. Etsy search ranking factors sellers can control covers the listing side.
Etsy shop ranking factors: what Etsy says
Etsy's own help article says "Sellers control the most important factors in Etsy Search placement" and names tags and titles, attributes, quality and customer service among them (Etsy Help).
The clearest view of the shop side is the Search Visibility page in Shop Manager. Etsy's announcement of that page says the customer-service factors include "a shop's average review rating, message response rate, and case rate" (Etsy Community). The help article for the page lists timely replies to buyer messages, shipping on time with tracking, a positive review score and avoiding a high number of cases, and adds: "If your shop is not complete, your listings' search visibility may be impacted." (Etsy Help).
What Etsy does not publish is a weighting, so treat these as conditions to meet rather than dials to tune. The same announcement says changes "can take up to one day to reflect in search": a fixed policy shows up quickly, while a review record moves slowly.
Reviews: a slow score with a long memory
Your review score is not a simple average. Etsy calls it "a recency-weighted average of all the star ratings you've received", with reviews from the past 12 months weighing most and each rating's weight halving every year (Etsy Help). A bad month fades over time, and steady good orders are the real fix.
Buyers have 100 days to leave a review, counted from the delivery date or the estimated delivery date (Etsy Help), so an order rushed out today can turn into a low rating weeks later. Two rules shape how you respond: you can reply to each review only once, and once you reply, the buyer can no longer edit the review or the rating (Etsy Help). If a buyer is still talking to you about a fix, solve the problem first and write the public reply after.
In print on demand, low ratings often trace back to three causes: the item looked different from the mockup, the size ran differently than expected, or it arrived late. Honest mockups, a size chart and a realistic processing time prevent more bad reviews than any reply can repair.
Policies: the easy points new shops miss
Among the things Etsy says can push listings lower is having no return policy, and it counts even a "no returns" policy as having one (Etsy Help). Sellers must set a return policy on physical listings, even when it says no returns or exchanges (Etsy Help).
Shipping price is the other policy-shaped signal, for sellers based in the US. Etsy says a shipping price that is too high can push listings lower (Etsy Help), and that "US listings with domestic shipping prices lower than $6 will be prioritized in search" (Etsy Help). If you charge more than that to ship a standard tee inside the US, consider moving part of the shipping cost into the item price.
For the About section, policy wording and partner disclosure, Etsy shop policies: what a new seller should write walks through each field.
Service: messages, on-time shipping and cases
Etsy publishes customer service standards for every seller and stricter thresholds for the Star Seller badge.
| Signal | Etsy's standard for all sellers | Star Seller level | What you control |
|---|---|---|---|
| Message replies | 80% of first messages answered within 24 to 48 hours | 95% of first messages answered within 24 hours | Notifications on, saved replies for common questions |
| Shipping on time | At least 80% of orders ship on time | 95% ship on time with valid tracking or an Etsy label | A processing time your partner can really meet |
| Reviews | Under 40 reviews: no more than 4 rated 3 or lower. 40 or more: under 10% | Average rating of 4.8 or higher | Honest mockups, size charts, quality checks |
| Cases | Under 300 orders: no more than 3 cases refunded from the Payment account. 300 or more: under 1% | Must meet the minimum case rate standard | Fast replies, fixing problems before a buyer opens a case |
| Return policy | Required on physical listings, even a no-returns policy | No separate rule | Set it once in your shop policies |
The all-seller column comes from Etsy's customer service standards, and the Star Seller column from Etsy's Star Seller criteria, which also require at least 5 orders and $300 in sales over the past 3 months and are reviewed on the 1st of every month. For the full picture, see Etsy Star Seller requirements for POD shops.
Etsy says "Orders for physical items must have a valid tracking number in order for them to qualify towards Star Seller" (Etsy Help), so an order shipped on time without tracking can still work against you.

How one shop record lifts or holds back every listing
Listing work and shop work stack. When the shop record is weak, every listing carries that weight at once, so a bad delivery month can show up as a dip across the shop rather than in one listing.
A practical order of work for a POD shop:
Set a return policy and check your domestic shipping price.
Fill in the About section and add your production partner.
Choose a processing time your partner can meet in your busiest week, not your quietest.
Answer every first message within a day.
Read every review under 4 stars and fix the cause, not only the reply.
How Alomations helps with the shop side
The shop report in Alomations is a scored health check of your whole shop, with an action plan and a PDF you can keep. It is the place to start when listings across the shop sit lower than they should. It is part of the paid plans, and Shop report: a scored health check with an action plan shows what it covers.
Service signals depend on orders moving cleanly, and that part is open on every plan, Free included. Orders arrive resolved, with the design and variant matched. When you fulfill through a production partner, item cost and shipping are shown separately before you pay, the row says which print centre has the order, the partner cannot mark an order shipped without a tracking number, and tracking is posted back to Etsy where Etsy allows it. Production for US orders is in the US. The full flow is on how it works.
Frequently asked questions
Does Etsy publish how much each shop signal counts?
No. Etsy names the factors (review rating, message response rate, case rate, a return policy and, for US sellers, the shipping price), but no page we read gives weights.
Does a no-returns policy hurt my listings?
Etsy lists a missing return policy as something that can push listings lower, and a "no returns" policy still counts as having one.
How quickly does fixing a shop signal show up?
Etsy says changes can take up to one day to reflect in search. A review score moves more slowly, since it builds from new orders.
Do I need the Star Seller badge to rank?
The Etsy search pages we read do not say so. Star Seller uses stricter versions of the same service measures, so working toward it improves the signals Etsy does name.
