A weekly operations checklist for a POD Etsy shop

One fixed weekly session, five areas in the same order: orders, messages, reviews, listings and money. Here is the routine and the Etsy rules behind each check.

A print-on-demand Etsy shop stays healthy with one fixed weekly session that walks through five areas in the same order: orders, messages, reviews, listings and money. Day to day you only answer buyers and push orders out; the weekly pass catches what the daily rush misses.

This checklist is for sellers who have made their first sales and run the shop alongside a job, studies or a family. At that stage a late order or an unanswered message costs you more than a listing you did not publish, and Etsy measures exactly those things.

What stays daily, and what the weekly check covers

Etsy holds every seller to customer service standards: reply to 80% of first messages in a thread within 24 to 48 hours, and ship at least 80% of orders on time. Star Seller asks for more: replies to 95% of first messages within 24 hours, and 95% of orders shipped on time with valid tracking. Messages therefore belong to every day, not to the weekly session.

The weekly check is a review. Use the same order every week, so you can stop halfway and know exactly where to pick up:

Orders: nothing close to its ship-by date

Open every unshipped order and look at its ship-by date first. Etsy defines it as "the date that you commit to ship an order to the buyer", and items must be marked shipped by 11:59pm on that date in your shop's time zone.

Then check the shipped side. For US sellers, tracking is required to complete an order, physical orders need valid tracking to count toward Star Seller, and valid tracking is also a condition of Etsy Purchase Protection. You have 3 days to correct a tracking number or carrier, so a weekly look catches typos while they can still be fixed.

For personalized orders, compare the buyer's text with the print file one more time. If a production partner is running late, message the buyer before they message you. Etsy lets you edit a ship-by date once and extend it by up to 21 days, but confirm with the buyer first. Our guide to replying to "where is my order" messages has wording for those conversations.

Messages, cases and reviews

Clear every open thread, then look for Help with Order requests in particular. To stay covered by Etsy Purchase Protection, you must answer the buyer's Help with Order message within 48 hours. Cases count against you too: with fewer than 300 completed orders, Etsy's standards allow no more than 3 orders with cases refunded from your Payment account.

Reviews come next. Buyers have 100 days to review an order, so new ones keep arriving for weeks after a sale. Read them for patterns rather than single moods: several comments about fit point to your size chart, several about fading point to the print or the blank.

Reply with care, because you can only respond to each review once, and once you respond, the buyer can no longer edit the review or rating. If a buyer might update a low review after you fix their problem, solve the problem first and reply afterwards. Etsy Support will not remove a review at a seller's request. See how to respond to a negative Etsy review before you write one.

Listings: renewals, quality and what to publish next

Every listing expires after 4 months, and an automatic renewal costs $0.20 and starts the 4-month period over. Once a week, look at what is about to expire and decide on purpose: renew what earns views, let go of what never did.

Next, open Etsy's Search Visibility page. Its listing checks include at least one image, a high-resolution primary photo that shows one finished product, the most specific category possible and a return policy. Fix anything flagged, and remember that changes can take up to one day to show in search, so judge a fix next week, not the same afternoon.

Finish with the pipeline: drafts waiting to go live, seasonal listings to add or switch off, and the next batch of designs. Our listing score guide explains ten checks you can run against your weakest listings.

Money: deposits, fees and refunds

Etsy pays out on a schedule you choose: daily, weekly, biweekly or monthly, with new sellers set to weekly, every Monday. Check that the last deposit arrived: standard bank transfers may take 1 to 5 business days to appear in your account. If you sell from Türkiye, Etsy charges a 42 TRY deposit fee on deposits above the 50 TRY minimum but below the 600 TRY threshold, so pick a schedule where deposits usually clear the threshold.

Then read the week's fee lines. Expect the 6.5% transaction fee and payment processing on each sale, listing and renewal fees, plus an Offsite Ads fee on any order Etsy attributes to an ad. If one order kept far less than similar orders, our guide to Etsy Offsite Ads for new sellers explains a common reason.

Last, handle refunds while you still can: after 180 days you can't refund an order through Etsy Payments. Top up your production balance for the week ahead if you fulfill through a partner, and note the profit per order, as described in how to track profit per order on Etsy.

How Alomations shortens the weekly pass

Several of these checks live on one screen in Alomations. Orders arrive resolved, with the design and variant matched and the buyer's personalization text and photos attached. You fulfill through production partners from the orders screen, with item cost and shipping shown separately before you pay from your balance; each row says which print centre has the order, a partner cannot mark an order shipped without a tracking number, and tracking is posted back to Etsy where Etsy allows it.

For the listings step, the listings manager shows every connected shop's active and draft listings in one list, with filters, sorting and bulk edits for prices, tags and publish schedules. The listing score runs ten checks on a live listing and attaches the fix to each one. Orders and the listings manager are open on every plan, the Free plan included; the features page shows the rest.

Frequently asked questions

Which day is best for the weekly check?

Monday is a practical choice, because weekend orders are in and new sellers start on weekly deposits every Monday. What matters more is keeping the same day every week.

What should I check daily instead of weekly?

Buyer messages and new orders. Star Seller counts replies to first messages within 24 hours, so a weekly reply rhythm is too slow.

Do I need to check Star Seller status every week?

No. Etsy reviews Star Seller eligibility on the 1st of every month using the last 3 months of data, so a weekly look at messages and shipping is enough to stay on track.

Does this routine change if I run several shops?

The order stays the same. Run it shop by shop, or use a tool that shows the orders and listings of all your shops in one place.

You can run this weekly routine with orders and the listings manager on the free plan, no card needed.
