To manage a large group order from one buyer, agree on the price and the delivery date first, collect every name, size and colour in a single list the buyer approves, and only then send anything to print. A group order usually goes wrong because of one missing size or one misspelled name, so the check before production matters more than the design itself.
This is for print-on-demand sellers who get a message like "Can you do shirts for our family reunion?" or "We need something for the whole team." A group order can be the biggest sale of your month. It is also the order most likely to go wrong, because one person pays for many people who each have their own size, colour and name.
Start with a quote, not a cart
Before you talk price, get the facts of the job in one message:
Which products, and how many of each
Sizes and colours, even if only roughly at first
Whether each item carries a name, a number, or the same design for everyone
The date of the event, and whether everything ships to one address
Who will send the final list and approve the proof
Then build the price from real costs. Product cost often changes with size, so larger sizes may need a higher price, as our guide to size-based pricing explains. Add shipping, then Etsy's fees. The transaction fee is 6.5% of the order total, including the shipping you charge (Etsy fee table). The payment processing fee depends on the country of your bank account, for example 3% + 0.25 USD for a US account (Etsy Help: payment processing fees). On a multi-quantity listing, Etsy also charges $0.20 for each additional unit sold: in Etsy's own example, a listing of 10 items that all sell costs $2.00 in listing fees (Etsy Help: listing fees).
Ask for the event date at the very start. For family events, our family reunion shirt ideas and ordering timeline shows how far ahead to plan.
Decide how the buyer will check out
There are two common ways to take payment for a group order on Etsy.
The buyer orders from your normal listing. This works when there are no names and the design is the same for everyone: the buyer adds each size and colour to the cart. It is simple, but a long order is easy to get wrong in the cart.
You make a private listing for that buyer. You set one agreed price for the whole group and describe exactly what is included. Etsy charges $0.20 per private listing (Etsy fee table). Our guide to handling custom order requests on Etsy walks through the set-up.
Whichever you choose, keep the payment on Etsy. Etsy scans messages and reviews attempts to move buyers off Etsy to complete a transaction (Etsy Help: messages), and a payment taken outside Etsy is not an Etsy order at all.
Collect names and sizes in one list
The list is where group orders succeed or fail. Ask for it once, in one format, from one person.
Send the buyer a template with one line per item: the name as it should print, size, colour and product.
Share your size chart so everyone picks a size from the same measurements.
Ask for names exactly as they should appear, including capital letters and accents.
If your listing has a personalization file upload field, buyers can attach up to 10 files of up to 100 MB each, including .pdf and .png files (Etsy Help: personalization), so the list can arrive with the order.
Do not accept the list in pieces spread across many messages. If someone changes a size later, ask the buyer to send the full updated list again rather than a single correction.
Check everything before production
Once you have the list, check it against the order before anything is printed.
| Check | What to look for | Fix before printing |
|---|---|---|
| Count | Lines on the list match the quantity paid for | Ask for the missing lines or adjust the order |
| Sizes | Every line has a size from your size chart | Ask the buyer, never guess |
| Spelling | Names match the buyer's list letter for letter | Copy and paste names, never retype them |
| Colours | Each colour exists for that product and size | Offer the closest colour in writing |
| Proof | The buyer has seen the design with real names | Send a mockup or a proof sheet |
| Dates | Production plus shipping fits before the event | Agree a new date or faster shipping |
| Addresses | One address or several, all complete | Confirm each address in Messages |
Then send a proof: a mockup of the design with a few real names in place, or one sheet that lists every name and size. Ask the buyer to reply "approved" in Etsy Messages, and keep that message. Each Etsy seller is responsible for their own return and exchange policies (Etsy Help: returns), and an approved proof is the clearest record of what the buyer agreed to.
Production, shipping and the ship-by date
Split the order by product and print method. DTF and DTG run with no setup fees or minimum orders (Printify: DTF vs DTG). Screen printing usually has minimums of five to 100 units and suits simple designs with one to four colours (Printify: DTG vs screen printing). For a big order of a simple one-colour design it can be worth comparing both, as we do in screen printing vs DTF for small Etsy orders.
If the job will take longer than the processing time on your listing, talk to the buyer first. Etsy lets you edit a ship-by date once, before it passes, and extend it by up to 21 days, and asks you to confirm with the buyer before you do (Etsy Help: processing times). For US sellers, adding tracking is required to complete an order (Etsy Help: tracking). If the order ships in more than one box, tell the buyer what is in each.
How Alomations helps with group orders
Custom orders have their own screen in Alomations, so a group job does not get lost among regular sales. Etsy orders arrive resolved: the design and variant are matched, and the buyer's personalization text and photos are attached, which is exactly what you check your list against. Our article on the orders screen shows how that looks.
From the orders screen you can send the order to a production partner. Item cost and shipping are shown separately before you pay from your balance, each row says which print centre has the order, and a partner cannot mark an order shipped without a tracking number. Tracking is posted back to Etsy where Etsy allows it. You can also print and ship an order yourself, and all of this is open on every plan, Free included. The catalog carries women's, youth, toddler and baby sizes next to adult apparel, which helps when one group spans several ages, and apparel is printed with DTF.
Frequently asked questions
Should I give a discount on a bulk order on Etsy?
That is your call, but work out the margin first. If you do offer one, Etsy promo codes can take a percentage or a fixed amount off, or give free standard shipping (Etsy Help: sales and promo codes). You can also build the lower price into a private listing.
Can the buyer pay outside Etsy for a large order?
Keep payment on Etsy. Etsy scans messages for attempts to move a transaction off the platform, and an off-Etsy payment is not an Etsy order.
What if one item in the group order is wrong?
Compare it with the approved list and proof. If the mistake is yours or the printer's, reprint that item and tell the buyer when it will arrive. If the list itself was wrong, the approved proof shows what was agreed, and you can offer a reprint at cost.
How far ahead should a group order be placed?
Far enough for collecting the list, approving the proof, production and shipping, plus a buffer. Ask for the event date at the start and plan backwards from it.
You can manage your first custom orders and fulfillment on the Alomations free plan.
