Variation profiles: save sizes and colours once

A variation profile is a saved set of sizes and colours you reuse in every Alomations template, so your Etsy listings offer the same options, named the same way.

A variation profile in Alomations is a saved set of sizes and colours that you pick when you build a template, instead of typing the same options again for every product. Every template that uses the profile starts from the same list, so a tee you list in spring and a tee you list before Christmas offer the same sizes, in the same order, with the same colour names.

This is for sellers who have outgrown a single template. Once you sell the same blank in many designs, on several products or in more than one shop, the size and colour list is what you retype most often, and it is where small differences slip in.

Why sizes and colours drift between listings

On Etsy, every listing carries its own variations. Since Etsy's September 2026 update you can "Add up to three distinct variations, like size, color, and style" (Etsy Help Center), and a listing with one or two variation types can hold up to 4,900 option combinations (Etsy Help Center). That is a lot of room, and nothing in the listing form checks that today's listing matches last month's.

So the drift is quiet. One listing says Sport Grey and the next says Heather Grey for the same shirt. One offers 2XL, another XXL. One stops at 3XL because that day you forgot the last size. None of this breaks a listing, but a buyer comparing two of your shirts sees a shop that is not quite sure what it sells, and your own orders get harder to read.

Clear names matter more than you might expect, because Etsy says buyers cannot filter search results by custom variations (Etsy Help Center). A buyer reads your size and colour menu line by line. The words in it should be the same words every time.

What a variation profile holds

A variation profile holds two lists: the sizes you offer and the colours you offer for a product. You save it once, with a name that says what it is for, such as "Unisex tee, core colours" or "Youth tee". From then on, when you build a template, you pick the profile instead of entering sizes and colours by hand.

The profile does one job. Everything else that makes a listing (product, category, price, materials, SKUs, shipping, returns and processing) stays in the template. This is how the pieces divide:

What you setWhere it is savedWhere it is reused
Size set and colour setVariation profileEvery template you pick the profile in

Price per sizeTemplate (arrange prices across sizes)Every listing made from that template
SKUsTemplateEvery listing made from that template

Because the split is clean, you can build a second template for a new shop or a new price point and still offer exactly the same sizes and colours as the first.

How a profile reaches an Etsy listing

The path from a saved profile to a live listing is short:

  1. Save the profile with the sizes and colours you want to offer.

  2. Build a template: product and category, price, materials, SKUs, your shipping, return and processing profiles, and the variation profile for sizes and colours. Our guide to building your first listing template in Alomations walks through every field.

  3. Arrange prices across sizes in the template, so larger sizes can cost more than smaller ones.

  4. Start a run with a design, your mockups and the template, and choose whether it publishes live or as a draft.

The run writes the title, all 13 tags and the description, applies the template, and publishes to your Etsy shop. The variations on that listing come from the template, so they match every other listing made from it.

Keeping a whole shop consistent

A profile keeps the list the same. A few habits keep the rest of the menu the same too.

  • Keep the size order fixed. Smallest to largest, every time, so the menu reads the way buyers expect.

  • Use the blank's colour names. If the blank maker calls a colour Sport Grey, call it Sport Grey. It also makes orders easier to match.

  • Price sizes in steps. Larger sizes usually cost more to make, and arranging prices across sizes in the template applies the same steps to every listing. There is more on this in size-based pricing: why 2XL and up cost more.

  • Give SKUs one pattern. Etsy lets you set unique prices, SKUs and quantities for up to 400 option combinations (Etsy Help Center). One pattern in the template keeps those SKUs readable, as covered in SKU naming for print on demand shops.

When to make more than one profile

One profile per product family is a good place to start. A unisex tee, a youth tee and a crewneck sweatshirt usually need different size runs, so each gets its own profile. A second colour profile makes sense when some designs need a shorter colour list, for example a design that only reads well on light shirts.

Separate shops are the other reason. If you run more than one shop, each can have its own template with its own price and Etsy profiles, while sharing one variation profile wherever the offer should be identical. Keep the number of profiles small and the names plain, so picking the right one takes a second. If you are still deciding how many colours to offer at all, read how many colour options a POD listing should have.

How Alomations handles the rest of the template

Variation profiles sit inside the template system, which carries the other repeated settings as well. Templates hold the product, category, price, sizes and colours, materials, SKUs, and your shipping, return and processing profiles, and you can keep a separate template per shop. A bulk Etsy-profile editor changes those profiles across templates in one pass, and "Refresh from Etsy" pulls in profiles you changed on Etsy. Listing accuracy is built in too: fabric claims in the copy match the template's materials, and Etsy listing attributes are filled from the product.

On the Free plan you set sizes and colours inside each template. Saving them as reusable variation profiles comes with the paid plans (Starter, Standard and Pro), which also open the Design Editor, your own mockup library, multi-shop runs and scheduled publishing. The plan details are on the pricing page.

Frequently asked questions

How many variation types can an Etsy listing have?

Up to three, since Etsy's September 2026 update. Listings with three variation types can have up to 2,500 option combinations, and listings with one or two types up to 4,900 (Etsy Help Center).

Can I use variation profiles for digital downloads?

No. Etsy says "Listing variations are not currently supported for digital item listings" (Etsy Help Center), so profiles are for physical products.

How do I change the variations on listings that are already live?

Use the listings manager, which is on every plan. It bulk-edits variations, along with prices, tags and the publish schedule, across your shop. See bulk editing prices and tags with the listings manager.

What if one colour is out of stock for a while?

On Etsy, an option with quantity 0 shows as Sold out, and at least one option must stay visible (Etsy Help Center). That covers a short gap without touching your profile.

You can start building templates on the free plan, no card needed, and save variation profiles when you move to a paid plan.
