Writing an Etsy description for a personalized item

What a personalized listing description must cover, from the character limit to proofs and timing, so buyers type the right text and orders come out right the first time.

A personalized Etsy description has to tell the buyer five things before they order: what they can change, how much text fits, how to type it, whether they will see a proof, and how long the item takes to make. Write those down clearly and most wrong names, wrong dates and "that's not what I meant" messages never happen.

This guide is for sellers of name shirts, custom mugs, family sets and any listing with Etsy's personalization box switched on. In print on demand the item is printed from exactly what the buyer typed, so the description is your one chance to prevent a mistake before it reaches the printer.

Open with the item, then the personalization

Etsy's general advice for descriptions comes first: "Clearly describe your item in the first sentence of your description," because "A person should be able to read the first sentence and know exactly what you're selling" (Etsy Help: SEO tips). So the first sentence names the product, what gets personalized and the occasion, if there is one. For example: "A cotton t-shirt printed with your child's name and birth year, made to order."

Put the personalization details straight after that, while the buyer is still deciding. If they sit at the bottom under care instructions and shipping notes, a buyer skimming the page may never reach them. For the overall structure of a description, see how to write an Etsy description buyers actually read.

Say exactly what can and cannot change

When the description is vague, buyers guess, and guesses become wrong orders. Spell out each part the buyer controls and each part they do not:

What the buyer controlsWhat the description should sayExample wording
Name or short textThe character limit, and whether capitals and symbols print as typed"Type the name exactly as it should print, up to X characters."
Date or numberThe format you will print"Write the date the way you want it to appear, for example June 12, 2026."
Font or colourWhether there is a choice, and where to make it"Pick the text colour from the drop-down menu."
PhotoWhich files work and what makes a good photo"Upload a clear, well-lit photo where the face fills most of the frame."
Layout and designThat the layout stays as shown"The design, font and placement stay as in the photos."
Several namesWhether each item gets its own name"Add each shirt to your cart separately with its own name."

Use the same X as the character limit you set in Etsy's personalization box. A description that promises a shorter limit than the box accepts invites a long name that will not fit the design, and a description that promises more than the box allows frustrates the buyer at checkout.

Match the description to Etsy's personalization box

Etsy's personalization tool gives you up to 5 fields per listing, in three types: a text box, a list of options and a file upload (Etsy Help: personalization). Those settings should line up with what the description promises:

  • A text box takes a character limit you choose between 1 and 1,024, "based on your design". Set it to what the design can actually hold.

  • A list of options can hold up to 30 options. It is a cleaner way to offer a font or colour choice than asking buyers to type one.

  • You can add one upload field per listing. Buyers can upload up to 10 files of up to 100 MB each, as .jpg, .png, .svg, .heic or .pdf.

  • Each field can be required or optional, and an optional text field can carry an add-on price between $0.20 and $500 (or the equivalent in your currency).

Keep the instruction in the box short, since buyers read it while typing, and let the description carry the detail. We cover the wording of the box itself in personalization instructions buyers follow, and how to design for any name length in designing for short and long names.

Proofs: promise one only if you can keep it

A proof catches a typo the buyer made, but it adds a step and a wait. If you offer proofs, the description should say:

  • how the proof arrives, usually in Etsy Messages,

  • how long the buyer has to reply,

  • what happens if they do not reply, for example that you print the text as typed after that time.

If you do not send proofs, say so plainly and ask buyers to check their spelling before ordering. "We print your text exactly as you type it" is a fair sentence for a print-on-demand shop. Both approaches work. Saying nothing is what leaves room for an argument later.

Timing, returns and protecting yourself

Personalized items take time to make, and a proof adds more. Etsy counts processing time from the day after purchase, and you can set it per listing or per variation (Etsy Help: processing times). Repeat that timing in the description in plain words, including any extra days for a proof.

Returns need the same clarity. Etsy lets you set different return and exchange policies for each physical listing (Etsy Help: return policies), so say what you do when the buyer's own text had a typo and what you do when the mistake was yours. If you ship to the EU, read Etsy's help page on EU return rules, since some sellers must offer a minimum 14-day return policy there (Etsy Help: return policies).

There is a protection reason too. Etsy Purchase Protection covers cases where an item "matches the listing description and photos, but a buyer claims it does not", and does not cover items that do not match the description (Etsy Help: Purchase Protection). A precise description is your written record of what the buyer agreed to. More in Etsy Purchase Protection: what it means for sellers.

How Alomations sets up personalized listings

With personalizable designs, you add an editable field, such as a name or a date, to the design. The listing then reaches Etsy with personalization switched on, and when an order arrives, the buyer's text is placed into the design. Our personalizable designs guide shows the setup step by step.

The listing run writes the title, all 13 tags and the description. When a design is personalized, the title says Custom or Personalized, and the sample name shown on the mockup is kept out of the copy, so no buyer reads a stranger's name in a description meant for every name. Orders arrive on the orders screen already resolved, with the buyer's personalization text attached. If you want to read the description and add a line about your proof policy before buyers see it, choose draft instead of live on the run, and the listing waits in your shop as an Etsy draft.

Frequently asked questions

How long should a personalized description be?

There is no ideal word count. Make it long enough to cover the item, the personalization points and the timing, with the item described in the first sentence.

Should instructions go in the description or the personalization box?

Both. A short instruction goes in the box, where buyers type, and the full detail (limits, proofs, timing, returns) goes in the description.

Do I have to offer proofs?

No. Either choice works as long as the description says which one you make. If you skip proofs, ask buyers to check their spelling and say you print the text as typed.

Should I mention the sample name in the photos?

Yes, briefly. Say that the name in the photos is an example and that the buyer's own text replaces it, so nobody orders expecting the sample.
