Print on demand quality control happens at four points you can see without handling every order yourself: the print file, a sample of each product, the details of each order while it is made, and what buyers tell you after delivery. Most print faults show up at one of these points well before they turn into a run of refunds and low ratings.
This is for sellers whose products are printed and shipped by a production partner, so the item a buyer receives rarely passes through your hands. Your quality check is then made of files, samples, order details and buyer words, and each one catches a different kind of problem.
Check 1: the file, before anything prints
Many print problems start in the file, and file problems are the cheapest to fix.
Resolution at print size. "The recommended resolution for JPEG/PNG files is 300 DPI" (Printify file guide), and the file should be "sized to match the actual print dimensions to ensure DPI is calculated correctly" (Printful file guide). An image that is 300 DPI at 4 inches wide is only 100 DPI when printed 12 inches wide.
Transparency. PNG supports transparent backgrounds. JPEG does not, so transparent areas can print as white, which is the familiar white box around a design (same Printful guide).
Colour profile. Printful recommends sRGB and warns that converting to CMYK can "unnecessarily reduce the available color information" (Printful on colour).
Dark garments. A design made for white shirts can disappear on black. Check the version for dark colours on its own.
The full checklist is in print file requirements for POD.
Check 2: a sample of every product you list
A sample shows what no mockup can: how the print feels, how colours land on real fabric and how the print survives washing. Order one of each product and colour family you list, and check:
Placement and size against your mockup. If the print sits lower or smaller than the photo, buyers will notice.
Colour against your screen. Garment-dyed blanks vary on their own: the Comfort Colors 1717 spec sheet says "Please allow for slight color variation in production and washing" (1717 spec sheet).
Edges and feel. A DTF print is "A thin, smooth layer you can feel sitting on top of the fabric", firmer until it softens over the first few washes (Printify on DTF and DTG). Lifting corners are a fault; a light film feel is not.
A wash test. Wash it the way your care instructions say. Printful notes that a DTF print "might develop small cracks if the garment is washed in hot water" (Printful on print methods). Our article on why prints crack or peel covers the causes.
For a longer list, see ordering samples of your own products.
Check 3: each order while it is made
Some production partners share photos or status details for each order, others only a tracking number. Whatever your partner shows you, check what you can on every order:
The design and the variant (size and colour) match what the buyer ordered.
Personalization text is exactly what the buyer typed, capitals and spelling included. Read it back before it goes to print, as covered in avoiding mistakes in buyer text.
The right version of the design goes on the right garment: the light version on dark colours, the dark version on light ones.
The order gets a valid tracking number. Etsy requires one for an order to qualify toward Star Seller and for Etsy Purchase Protection (Etsy on tracking).
Check 4: what buyers tell you
After delivery, messages and reviews are your widest quality check. Buyers have 100 days to review an order, starting on the delivery or estimated delivery date, and your score is "a recency-weighted average" in which the past 12 months weigh most (Etsy on reviews). A batch of bad prints therefore stays visible in your score for months.
The stakes are concrete for a small shop. Etsy's customer service standards say that with fewer than 40 reviews, no more than 4 can be rated 3 stars or lower (service standards). Read every message that mentions the print and sort them by product, design and colour. One complaint is an incident. The same complaint about the same product from different buyers is a pattern.
Signals, causes and fixes
| Signal | Where you see it | Likely cause | What to do |
|---|---|---|---|
| Blurry or jagged edges | Sample, buyer photo | File too small for the print size | Re-export at print size, 300 DPI |
| White box around the design | Sample | JPEG, or a background that is not transparent | Use a transparent PNG |
| Design fades into a dark shirt | Sample, review | No version made for dark garments | Make a light version for dark colours |
| Cracks after washing | Buyer message | Hot wash or heavy stretching | Put care instructions in the listing |
| Print lower or smaller than the photo | Sample | Placement differs from the mockup | Match the mockup to the real placement |
| Wrong name or spelling | Order details | Personalization retyped by hand | Read the buyer's text back before printing |
| Shade differs from the photo | Review | Garment-dyed blank or screen colour | Mention colour variation in the description |
When a bad print reaches a buyer
Fix the buyer's problem first, then the cause. Etsy Purchase Protection can cover an item that arrived damaged "(for the first instance per calendar year)", but it does not cover a case where "The item doesn't match the listing description" (Purchase Protection). Honest mockups and an accurate description protect you as much as the buyer. Our guide on what to do when a POD order arrives damaged or misprinted walks through replacements and refunds. When you spot a pattern, deactivate the listing, fix the file or the setting, and order a fresh sample before you switch it back on.
How Alomations handles the order side
In Alomations, orders arrive resolved: the Etsy order comes in with the design and variant already matched and the buyer's personalization text and photos attached, so nobody retypes a name or picks a size by hand. You fulfill through production partners from the orders screen. Item cost and shipping are shown separately before you pay from your balance, the row says which print centre has the order, and the partner cannot mark an order shipped without a tracking number, which is posted back to Etsy where Etsy allows it. You can also print and ship an order yourself.
On the file side, every design comes back print-ready at 12 inches and 300 DPI (3,600 pixels on the long side), as a transparent PNG with an SVG alongside, in light and dark versions with tone rules per garment colour. Catalog apparel is printed with DTF, sublimation is used for the products that need it, and US orders are produced in the US. Fulfillment is open on every plan, Free included, and how it works shows the whole flow.
Frequently asked questions
How often should I order samples?
When you add a new product, a new blank or a new colour family, and when you change how a design is printed. A sample per design is rarely needed; a sample per product and colour range usually is.
Who pays for a reprint when the print is faulty?
That depends on your production partner's terms and your own shop policy. Etsy leaves refunds, exchanges and returns to each seller (Etsy on returns), so decide your policy before the first fault.
Does one bad review affect Star Seller?
Star Seller needs an average review rating of 4.8 or higher, and eligibility is reviewed on the 1st of every month using the last 3 months of data (Star Seller). In a shop with few reviews, one low rating can pull the average under that line.
You can send real orders to production partners, with tracking posted back to Etsy, on the Alomations free plan.
