Returns and exchanges for print on demand items

Made-to-order does not mean no policy. Here is how to write a fair return policy for print on demand, handle size exchanges and refund without losing fees.

Print-on-demand items are made to order, but Etsy still expects a return policy on every physical listing, and the fairest one separates mistakes on your side from changes of mind on the buyer's. Replace or refund misprints, damage and wrong items at your cost, offer size exchanges on terms you state in advance, and decide up front whether you accept change-of-mind returns at all.

This is for POD sellers writing their first return policy, or rewriting one after a difficult order. A clear policy protects your margin, helps keep cases down and tells buyers what happens if a shirt does not fit, which often matters more to them than the policy itself.

Why made-to-order items still need a policy

Etsy is plain about who decides: "Each Etsy seller is responsible for their own policies regarding refunds, exchanges, and returns." You must still set a return policy on physical listings, even when it says no returns or exchanges (Etsy returns guide).

There is a search reason as well. Etsy lists a missing return policy among the things that can push listings lower in search, so set one even if it says no returns (Etsy search guide). A return policy is also one of the listing checks on Etsy's Search Visibility page (Etsy Search Visibility).

Made-to-order goods add a third reason: a returned custom shirt cannot go back on a shelf, so a return is usually a loss. The policy is where you decide in advance which losses you accept.

You can set different return and exchange policies for each physical listing (Etsy return policies), which suits a shop that sells both plain designs and personalized items. If you ship to the EU, the same page notes that EU rules "require some sellers to offer a minimum 14-day return policy" on those orders. Consumer rules differ by country and type of seller, so check Etsy's help pages or a qualified professional for what applies to you.

Who caused the problem decides the fix

Sorting requests by cause makes the fair answer obvious and keeps your replies consistent.

A photo shows what went wrong and gives your production partner the evidence it will ask for. Our guide to what to do when a POD order arrives damaged or misprinted covers that conversation step by step.

Handling size exchanges fairly

For apparel, size is a common reason buyers ask to swap, and the cheapest exchange is the one that never happens. Put a size chart in every apparel listing, say whether the cut is unisex or a women's fit, and mention when a style runs small or large. Our guides on building a size chart and unisex vs women's sizing show what to include.

When an exchange still happens, your policy should answer three questions:

  1. Do you need the original back? For a low-cost shirt, return postage can cost more than the shirt is worth to you, so it is often simpler to let the buyer keep it.

  2. Who pays for the new item? A fair middle ground: the buyer covers the replacement's production and shipping when the size was their choice, and you cover everything when your size chart was wrong.

  3. How long does the buyer have to ask? Etsy's simple return template says "Buyers must return it within 30 days of delivery" and "Buyers are responsible for any return shipping costs" (Etsy return policies). You can use it as written or set your own terms.

Whatever you agree, write it down in Etsy Messages. Etsy says that if you agree to a return through Messages or a case, "we require you to fulfill that agreement" (Etsy returns guide).

Refunds: full, partial and what happens to fees

Refund in full when the fault is yours or your partner's. A partial refund suits small issues the buyer is happy to live with, such as a print sitting slightly off-centre. Always refund through Shop Manager so the fees come back with the money: Etsy says "your Etsy transaction and processing fees for the refunded transactions are automatically refunded" (Etsy refunds). On a partial refund, the payment processing fee is credited proportionally (Etsy payment processing fees), and listing fees are credited back if you also cancel the transaction.

Watch the clock too: "After 180 days have passed, you can't refund an order through Etsy Payments" (same refunds page). Your production partner's charge is a separate matter, so check the partner's own policy on misprints and transit damage before you promise a free replacement.

Cases and Etsy Purchase Protection

If a buyer opens a case instead of messaging you, Etsy Purchase Protection may step in: "Etsy will cover up to $250 of a refund". Covered situations include an order that never arrived, one that arrived 7 or more days after its estimated delivery window, and an item that arrived damaged, for the first instance per calendar year. It does not cover an item that doesn't match the listing description, which is one more reason your mockups and size chart must be accurate (Etsy Purchase Protection).

Eligibility depends on basics you control: shipping within your stated processing time, valid tracking or an Etsy label, an estimated delivery date on the listing, and replying to the buyer's Help with Order message within 48 hours. Cases also count against Etsy's customer service standards: with under 300 completed orders, no more than 3 orders can have cases refunded from your Payment account (Etsy customer service standards). How Alomations helps with returns and exchanges

In Alomations, orders arrive resolved. The Etsy order pulls in with the design and variant matched and the buyer's personalization text attached, so you can check a wrong-size or wrong-text complaint against what was actually ordered. Each order row says which print centre has the order, so you can name it when you report a misprint.

When you fulfill through a production partner, the orders screen shows item cost and shipping separately before you pay from your balance, so you know what a replacement costs before you agree to exchange terms. Partners cannot mark an order shipped without a tracking number, and tracking is posted back to Etsy where Etsy allows it. That matters here, because "Orders must also have valid tracking to qualify for Etsy Purchase Protection" (Etsy tracking guide). You can also print and ship orders yourself, and fulfillment is open on every plan, Free included.

Frequently asked questions

Do I have to accept returns on print on demand items?

You must set a policy on physical listings, but it can say no returns or exchanges. Defects, damage and wrong items are a separate matter that good service puts right, and orders shipped to the EU can require a minimum 14-day return policy for some sellers.

Should I ask the buyer to send a misprinted shirt back?

Usually a clear photo is enough. Return postage on a low-cost item can exceed its value, and a misprinted custom shirt cannot be resold.

Who pays return shipping on Etsy?

Whoever your policy names. In Etsy's simple return template, buyers pay return shipping, but you can choose to cover it.

Does a refund give me back my Etsy fees?

Transaction and processing fees come back automatically when you refund through Shop Manager, with processing fees credited proportionally on partial refunds. Listing fees are credited back when the transaction is also cancelled. For tracking basics, see tracking numbers on Etsy.

You can manage orders and fulfillment with tracking on the Alomations free plan.
