How buyer text and photos arrive with the order

Follow one personalized order from the Etsy listing to the print file, and see where the buyer's name, date and photo land along the way.

Etsy automation, from the people building it

When a buyer orders a personalized design you listed through Alomations, the order lands in your orders screen with the design and variant already matched and the buyer's personalization text and photos attached. The text goes into the design's editable field, the photo goes into the design's photo slot (cropped around faces and detail, and redrawn in a look if you choose), and the print file is prepared from that result.

This is for sellers of name shirts, family sets, pet portraits and photo gifts. Personalization is why buyers choose these products, and it is also what makes them slow to fulfill by hand: copy the name from the Etsy order, open the design file, type it in, export, upload, and repeat for every order. This article follows one personalized order from the Etsy listing to the finished print file, so you can see where each piece of the buyer's input ends up. That is what personalization orders automation means in practice.

Step 1: the listing reaches Etsy with personalization on

It starts with the design. A personalizable design in Alomations carries an editable field, such as a name or a date, and when the design goes out in a listing run, the listing reaches Etsy with personalization switched on. A design can also hold a slot for the buyer's photo. Personalizable designs: Etsy personalization switched on covers the setup in detail.

On Etsy's side, personalization is a set of fields the buyer fills in at checkout. Etsy allows up to 5 fields per listing, of three types: a text box, a list of options, and a file upload (Etsy Help). A text box takes a character limit you set between 1 and 1,024 "based on your design", a list can hold up to 30 options, and each field can be required or optional.

The listing copy follows the design. Titles say Custom or Personalized when the design is personalized, and personalized designs are detected so that the sample name on the mockup stays out of the title, tags and description.

Step 2: the buyer fills in the fields

At checkout the buyer types the name or date into the text box and, for a photo product, uploads a picture. Etsy allows one upload field per listing, and buyers can upload up to 10 files there, up to 100 MB each, as .jpg, .png, .svg, .heic or .pdf (Etsy Help). If you charge extra for an optional line of text, Etsy supports add-on pricing only on optional text fields, between $0.20 and $500 (or the equivalent in your currency).

What the buyer types is only as good as your instructions. Say exactly what to enter, how it will be written (capitals or as typed), and what kind of photo works best. Writing Etsy personalization instructions buyers follow has examples.

Step 3: the order arrives resolved

When the order comes in, Alomations pulls it from Etsy with the design and the variant already matched: the right product, size and colour, plus the buyer's personalization text and photos attached to the order. You do not copy anything from the Etsy order page, and you do not search your files for which design the buyer meant. The orders screen: how orders arrive resolved shows the screen itself.

Listings you made by hand can join this flow too. Adopting a listing connects it to a design and a fulfillment product, so its orders arrive resolved like the rest. Custom orders have their own screen.

The table follows each piece of buyer input from Etsy into the print file:

What the buyer givesWhere they enter it on EtsyWhere it lands in AlomationsWhat you check
A name or short lineText boxThe design's editable fieldSpelling and length against the space
A dateText boxThe design's editable fieldFormat, since US buyers write month first
Size and colourVariationsMatched to the product variantThe right blank and colour
A photoFile uploadThe design's photo slot, cropped around faces and detailThat the subject is clear and large enough

Step 4: text and photo go into the design

The buyer's text is placed into the design's editable field when the order arrives, so the name or date sits where you put that field when you made the design. Plan that space for both a short name and a long one when you design it, because buyers will send both.

The photo goes into the slot. Alomations crops it around faces and detail, so the subject fills the slot even when the buyer's snapshot has plenty of floor or sky around it. If the product is a portrait in a drawn style, the photo can be redrawn in a look before the print file is prepared, which is how a pet photo becomes an illustration that matches the rest of the design. Buyer photo slots: selling custom photo products goes deeper on choosing photo products.

The design underneath is already print-ready at 12 inches and 300 DPI (3,600 pixels on the long side), so the buyer's text and photo go into artwork sized for print, and the order's print file is prepared from that result. Designs come with light and dark versions, and tone rules per garment colour decide which version each colour gets, so the same personalized design can be offered on white and on black.

Read the buyer's text before you pay for production. A typo the buyer made is still a reprint you pay for, and a quick message costs less. Personalization orders: avoiding mistakes in buyer text lists the common ones.

Step 5: production, tracking and Etsy's rules

From the orders screen you fulfill through a production partner or print and ship the order yourself. With a partner, the item cost and shipping are shown separately before you pay from your balance, the order row says which print centre has the order, the partner cannot mark it shipped without a tracking number, and tracking is posted back to Etsy where Etsy allows it. Production for US orders is in the US. The orders screen and fulfillment are open on every plan, Free included.

Etsy's rules fit this model. Etsy allows production partners, including print-on-demand services, "as long as the items being sold are the seller's original design (or the buyer's customization)" (Etsy Help), and you must disclose the partner on the relevant listings (Etsy Help). For US sellers, adding tracking is required to complete an order (Etsy Help), which is why the tracking step above matters.

Frequently asked questions

What if the buyer leaves the name field empty?

On Etsy each personalization field can be required or optional. If the design does not work without a name, make the field required so the order cannot go through blank.

Can a buyer send more than one photo?

Etsy's upload field accepts up to 10 files. Say in your instructions how many photos the design uses and which one you will place if more arrive.

Do listings I made by hand work the same way?

Yes, once you adopt them. Adopting a listing connects it to a design and a fulfillment product, so its orders arrive resolved with the buyer's text and photos attached.

Can I print personalized orders myself?

Yes. You can fulfill any order through a production partner or print and ship it yourself from the same orders screen.

You can follow your own personalized orders from Etsy to print file on the free plan.
